What is the Difference Between a Fit Out and a Renovation?
The two terms get used interchangeably, but they describe different situations.
A commercial fit-out applies to a new tenancy. The business is moving into a space that has not previously been configured for their use, and the work begins from a blank or near-blank state.
A renovation involves enhancing an existing space. The layout, fixtures, and infrastructure are already in place. The goal is to update, reconfigure, or improve what exists, not to construct from scratch.
Some projects sit between the two. A business taking over a previously occupied unit might keep parts of the existing fit-out and rebuild others. The starting condition of the space determines the approach.
Commercial Fit-Out: A Step-by-Step Process
A well-managed commercial fit-out follows a clear sequence.
1. Initial Project Discussion
The process begins with a conversation about scope, budget, timeline, and the business’s specific operational needs. These parameters shape every decision that follows, so getting them right here saves a great deal of revision later.
2. Onsite Consult
A site visit gives the fit-out team a clear picture of existing conditions: floor dimensions, structural constraints, access points, and anything else that could affect the design or the build of the commercial space.
3. Design and Management Proposal
Drawing on the brief and site findings, the contractor prepares a proposal covering the design approach, project timeline, and cost structure.
4. Concept Design

5. Construction Design and Documentation

6. Approvals and Contract
Relevant permits and regulatory approvals, such as FSSD, BCA, and building management approvals, are secured at this stage of the commercial fit-out. Once in place, contracts are finalised, and both parties formally commit to the project.
7. Project Commencement
After that, site preparation begins. Hoarding goes up, initial works are carried out, and the construction team mobilises on site.
8. Construction
Structural works, MEP installation, partitioning, joinery, flooring, ceilings, and all surface finishes are completed during the construction stage. It is typically the longest phase of the entire fit-out and the one that demands the tightest coordination between trades.
9. Pre-Handover: Site Review and Certification
Before you move in, the space undergoes a rigorous inspection against construction documents. Defects and outstanding items are identified and resolved. Certifications required for the occupation are obtained.
10. Practical Completion
The space is substantially finished and ready for use. Minor snagging items may still be outstanding, but the environment is occupiable.
11. Official Handover
Keys, as-built drawings, and operational manuals are transferred to your team, marking the formal completion of the build.
12. Post-Handover
Post-handover support covers defect rectification within the warranty period, as well as any adjustments the business needs as it settles into the new space.
